AI readiness

Is your admissions process ready for AI?

Most AI tools in admissions underperform for the same reason: the foundations underneath them are not ready. We get your data, processes and governance in shape first, so whatever you adopt actually works for your team and for the applicant on the other end of the decision.

We built and run a DfE-aligned, safeguarded AI platform used across widening participation and selective admissions. The readiness work is the same discipline we hold ourselves to, handed to your team.

The problem

The technology is rarely what lets you down

The pitch decks make it look simple: plug in the tool, automate the routine decisions, free your team for the work that needs judgement. Then it lands on top of inconsistent data, undocumented processes and a policy that does not mention AI at all.

Automate a bad process and you scale it

A tool dropped on top of inconsistent data and processes nobody has written down does not fix the problem. It makes bad decisions faster and at volume.

You cannot trust a decision built on data you do not trust

Most institutions assume their data is fine. It is the step that most often is not, and it is the one everything else rests on.

The safeguards have to be in place before the decision

The rules on automated decisions about applicants tightened in 2026. Governance has to come before the complaint, not after it, and it has to be defensible to a regulator and a board.

A different order of operations

The four foundations of AI readiness

Get ready first, then choose the technology. We work through four foundations, in order. Each one rests on the one below it, which is why we think of it as a stack rather than a checklist. Skip a step and the ones above it wobble.

01

Process and operations

Clear, consistent admissions and student-support processes that technology can improve rather than merely accelerate. Automate a bad process and you do not fix it, you scale it.

02

Data foundations

High-quality, well-governed data that is trusted, accessible and lawful to use. This is the step most institutions assume is fine, and most often is not.

03

Policy and governance

AI policy, lawful basis, fairness, accountability and human oversight, aligned to the DfE generative AI standards, the ICO Children’s Code and the Online Safety Act. The safeguards have to be in place before the decision, not after the complaint.

04

Readiness

The strategy, capability and responsible approach to adopt, evaluate and deploy AI with confidence, reached only once process, data and policy are in place underneath it.

Process, then data, then policy. Only with the first three in place are you genuinely ready to evaluate, choose and deploy a tool with confidence.

How it works

Two stages, and you can stop after the first

We start by telling you honestly where you stand. If you want support to close the gaps, the second stage is the build. The diagnostic stands on its own.

Stage 1: where you actually stand

A readiness diagnostic across all four foundations, anchored by a data governance health check. You come away with a clear, honest picture of your readiness and the gaps that matter most. Some institutions act on it themselves, and that is a perfectly good outcome.

Stage 2: getting genuinely ready

The build: turning the findings into governed data, agreed processes, defensible policy and a clear path to adopting AI well, with the change management that stops it stalling.

What we actually do

The work that makes you AI-native

Beyond the readiness diagnostic, we help institutions build the data infrastructure, governance and capability to use AI well. We set it up, we make it safe, and we help your people run it.

Admissions data infrastructure

We help you build the data foundations: clean pipelines, measurement infrastructure and governed data, so your teams have trustworthy evidence to work from.

Turn readiness into practice

Practical implementation: how to set up, adopt and scale new workflows across your teams, with the training and change management to make it stick.

Governance and policy

Governance frameworks, risk assessments and policy that stand up to scrutiny, aligned with DfE expectations, the ICO Children’s Code and the Online Safety Act.

Staff capability cohorts

Apprenticeship-style training that brings your people up to speed on new workflows day to day, so the capability lives in your team as well as in the tool.

Sovereign, secure hosting

UK-hosted and data-sovereign, with Cyber Essentials Plus, audit logging and the security posture a public institution can sign off.

Public speaking and fireside chats

Keynotes, panels, fireside chats and roundtables on responsible technology, widening access, social mobility and organisational change, hosted or moderated for your event.

AI literacy

Readiness reaches the student too

The same order of operations shapes what a student meets. AVA is built so the habit they pick up is judgement: knowing what they are talking to, where a claim came from and how to test it.

A governed AI, not an open chatbot

Students practise against a system built for their age and their task, inside guardrails, rather than against a general assistant that was designed for neither.

Every surface declares its stance

Each part of the platform states plainly whether AI is involved and what it is doing there, so a student always knows what they are talking to.

Taught to check the answer

The habit AVA builds is verification: where a claim came from, what it rests on and how to test it. That habit is the difference between using AI well and being used by it.

A route through without it

Every task has a path that works without the AI layer, so a student who prefers to think it through on paper reaches the same place.

Who it is for

For teams that would rather get the foundations right once

For admissions, registry and data teams thinking seriously about AI, whether you are already being sold tools, already piloting one, or simply being asked by your leadership what the plan is.

Universities

Run low-burden pilots that turn applicant preparation into aggregate evidence, usage insight and access-and-participation learning.

Medical schools

Prepare future medics and dentists for selection while linking engagement, shortlist, interview and offer outcomes in an admissions-safe evaluation.

Third-sector access organisations

Give every student a single preparation journey while your team keeps the relationships, safeguarding and funder narrative.

Corporate philanthropy

Fund defined cohorts with cost-per-outcome reporting, board-ready evidence and an equity mechanism built into delivery.

What makes our readiness work different

We get your data, processes and governance ready first, then help you choose and adopt the right tools with confidence.

We are a practitioner, not a theorist: we built and run a DfE-aligned, safeguarded AI product used across widening participation and selective admissions.

The readiness work is independent of buying our platform. Everything we produce is yours to act on with us, with another partner, or on your own.

Institutional partnership briefing

Bring AVA into your access, admissions or workforce strategy

We will map your cohort, current provision, delivery constraints and evidence goals, then recommend a pilot or partnership shape that can stand up to institutional scrutiny.
